PURPOSE OF THE ROLE

The Project Manager (Events) & Programming Assistant will sit within the Boiler Room Events team, through which we deliver our varied event portfolio, ranging from small editorial shoots to large capacity festivals.

This role will focus on planning, producing, and executing selected events, as well as supporting the Music Programming team with artist advancement and other assigned projects.

MAIN DUTIES

Your duties in the role will include, but are not limited to:

End to end Event production. Being the lead Boiler Room event contact in the pre-production and delivery phase of the event. 

Liaising with the full spectrum of external stakeholders (venues, promoters, production teams etc) and internal teams (Broadcast, Marketing, Programming, Design and Brand Partnerships where needed).

The overseeing of key events aspects such as event management (crowd flow, event staffing, briefings, H&S etc), technical production (LX, Sound, Video, Staging) and creative production (branding, set design).

Coordinating onsite teams and ensuring clear communication between them and other relevant event personnel (e.g., connecting the Broadcast team with the technical staff).

Ensuring accurate event planning and documentation is essential for the seamless and smooth execution of all events, in line with established requirements.

Sourcing new venues/spaces to work with around the world.

Managing budgets for events (internal & external), including but not limited to forecasting, giving estimates pre-event, understanding how our P&L works, managing post-show settlements with partners and key stakeholders and reporting post-event.

Ability to troubleshoot and mitigate risks at a senior level.

Client-facing responsibility, supporting the BR Partnerships team in communicating event production related items to the client as and when required.

Research and implement creative solutions for brand placement at events.

Writing call sheets and schedules for events. Developing production decks for both internal and external usage. 

Manage a wide range of key administrative processes: venue, artist & partner contracting; artist advancing; project logistics; invoicing and financial reporting

Ensure that budgets are adhered to and all administrative tasks are completed at the highest quality (exemplary attention to detail, organisation, communication and stakeholder management).

**EXPECTATIONS (specific to your role)

Successful candidates applying will have the following skills & experience: 

You’re a detail-oriented, outstanding communicator who has strong project management skills 

You will have substantial relevant experience within the music and cultural events industry–– either in booking, administration, project management or another related field and you should demonstrate proven experience managing projects from start to finish

You have a strong knowledge of Boiler Room’s music direction, & an understanding of the club culture from which it derived as a platform

The ability to work independently but also collaboratively - we need to trust that you’ll be able to manage on your own at times, as well as support the wider departmental and company goals

Exceptional attention to detail and organisation when it comes to administrative tasks, documentation and reporting

Advance, contract and oversee payment for all acts in a timely fashion, as well as connecting them with local production to hand over artist-specific information ahead of the show.

Your knowledge extends from project management techniques, methods and software to MS Office (namely Excel) & Google products. 

Experience managing events budgets & handling artist, venue & partner contracts 

You will be required to travel and work late nights/weekends to ensure the smooth running of events (you will, of course, receive TOIL if that’s the case)

To work closely with all internal and external stakeholders to ensure consistent and high-quality levels of project delivery, developing excellent relationships and open channels of communication at all levels to ensure successful long-term relationships are maintained.
