iHeartMedia's National Programming Group is looking for a highly organized and creatively driven Senior Coordinator on the National Events team to assist with the planning and execution of high-impact events from early-stage creative conceptualizing through on-site execution and completion. This role requires strong project management skills, vendor negotiation experience, a strong eye for design and brand storytelling, and the ability to manage multiple events simultaneously while maintaining exceptional attention to detail.
What You'll Do:
• Coordinate end-to-end planning and execution of iHeart’s National events throughout the year including Tentpoles, B2B, Podcast and custom events.
• Assist with coordinating event timelines, budgets, and project plans; ensure events are executed successfully on time and within budget.
• Source, negotiate, and manage vendors including but not limited to venues, catering, A/V, production, rentals, branding, décor, transportation, etc.
• Contribute creatively to the development of event concepts, environments and guest experiences that align with brand and programming goals.
• Support the curation of event aesthetics including layout, flow, décor, signage, branding moments, and experiential touchpoints.
• Oversee onsite event logistics including mentoring of junior staffing, load-in, set up, and load-out.
• Partner with internal post-sale teams to coordination execution of select sponsor integrations at events.
• Collaborate with internal departments and stakeholders in Sales, Marketing, Podcasts, Creative, Photo, Video, Press, and Finance on event deliverables.
• Identify and mitigate risks; troubleshoot issues quickly and professionally during live events.
• Stay current on event trends, technology, design inspiration, and best practices.
• Provide light administrative work such as assistance with expenses and travel.
• Work on-site at events taking place in NYC and travel to events out-of-state.
• This role reports to the Vice President and Senior Vice Present of National Events.
What You'll Need:
• Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field (or equivalent experience)
• 5+ years of professional event planning and coordination experience; experience curating events from a design and experiential standpoint strongly preferred.
• Proven experience managing large-scale or high-visibility events.
• Strong budgeting, negotiation, and vendor management skills.
• Demonstrated creative thinking with the ability to translate ideas into cohesive, well-executed event experiences.
• Excellent writing, organizational and communication abilities.
• Ability to thrive in a fast-paced environment and willingness to be flexible with changes.
• Excellent interpersonal skills and collaboration with others; willingness to be a team player.
• Proficiency with event management tools, project management software, and Microsoft Office
• Willingness to travel and work evenings or weekends required.
