**Requirements: **A basic, entry-level understanding of the music industry is required.
**Duties: **This is a 3-month temporary administrator position, funded by the Music BC Jumpstart grant. As a temporary Administrator at Wener Mgmt, you will support the team by addressing a backlog of administrative tasks, gaining hands-on experience in the music industry, and helping improve operational efficiency. Below are the key job duties aligned with the placement goals and anticipated outcomes:
Addressing the Administrative Backlog
• Manage Outstanding Paperwork: Review and process any outstanding client contracts, invoices, and correspondence that require attention. Ensure all necessary documentation is completed accurately and promptly.
• Follow Up on Pending Communications: Respond to or redirect overdue emails, phone calls, and messages from clients, partners, and team members.
• Organize Client Records: Update and organize the client database, ensuring all records are current, complete, and properly filed in digital systems.
Skill Development in Music Industry Administration
• Assist in Event Coordination: Help prepare for and organize events (virtual and in-person), such as artist showcases, album releases, and promotional campaigns. Tasks include coordinating schedules, liaising with vendors, and managing guest lists.
• Prepare Marketing Materials: Work closely with the marketing team to support the creation of promotional materials, such as press kits, social media content, and email newsletters. Learn how to adapt marketing materials for specific target audiences.
• Client Communication: Assist with preparing communications for clients, including email correspondence, meeting notes, and follow-up reminders. Gain insight into client management in the music industry.
• Database Management: Support the maintenance and updating of client and project management databases to ensure all information is accurate and accessible for the team.
Improve Administrative Efficiency
• Review Current Systems: Identify inefficiencies in the company’s administrative processes, such as communication workflows, document management, or scheduling. Offer suggestions for improvement.
• Implement Organizational Systems: Help organize and optimize company processes using tools such as project management software, CRM systems, or communication platforms. Aim to streamline daily administrative tasks.
• Assist in Process Documentation: Help create or update procedural guides for team members, documenting best practices and streamlined processes for efficiency and consistency.
• File and Document Management: Assist in organizing both digital and physical files to ensure that all documents are easy to locate, up to date, and in compliance with company standards.
