OVERVIEW
The Artist Coordinator plays a critical role in supporting artists with touring logistics, travel coordination, and day-to-day operational support. This role is highly execution-focused and best suited for someone who is adaptable, detail-oriented, and calm under pressure.
You’ll work closely with artists, managers, and touring teams to ensure schedules, travel, and logistics run smoothly, while also supporting internal coordination and administrative workflows. This role occasionally requires travel and flexibility around touring schedules.
KEY RESPONIBILITIES
Travel & Tour Logistics
• Book flights, hotels, and ground transportation directly or via travel agents
• Coordinate closely with tour managers, crew, and external partners to align itineraries and logistics
• Support visa, work permit, and travel documentation processes when required
• Build, maintain, and distribute clear, detailed travel itineraries and schedules
• Anticipate and resolve last-minute changes, delays, or conflicts quickly and independently
Artist Support
• Provide day-to-day support for artists, including reservations, gifting, and practical personal needs while on the road
• Assist with general artist coordination such as show announcements, basic profile updates, and metadata upkeep
• Act as a reliable point of contact to help artists stay focused while touring and working
Operational & Administrative Support
• Maintain accurate artist records across internal tools including Master Tour, Notion, Google Drive, and shared calendars
• Track tasks, follow-ups, and timelines across artist projects and internal teams
• Keep internal databases, folders, and documentation organized and up to date
• Support office administration, supplies, and general coordination as needed
• Assist with additional operations or cross-team projects as required
QUALIFICATIONS
• 1–3 years of experience in artist management, touring logistics, live events, or administrative coordination
• Highly organized, proactive, and comfortable juggling multiple priorities in a fast-paced environment
• Strong problem-solver with the ability to work independently and make judgment calls
• Excellent written and verbal communication skills
• Proficient with Google Workspace (Docs, Sheets, Calendar); experience with Notion and Excel is a strong asset
• Willingness to work flexible hours, including evenings and weekends, when touring schedules require it
• Genuine passion for music; familiarity with electronic or dance music is a plus
