Role Description
This role functions as a true Executive Assistant while also serving as a key coordinator across brand partnerships and execution. The position supports multiple initiatives, helping manage day-to-day workflows, timelines, and execution across internal teams and external partners.
This is a hybrid EA–brand coordination role for someone highly organized, proactive, and comfortable operating in fast-moving, high-visibility environments. You’ll play a critical role in keeping complex programs organized, efficient, and consistently moving forward.
Role & Responsibilities:
• Provide direct executive support to the founder, managing inboxes, calls, and day-to-day priorities
• Own complex calendar management across multiple time zones; schedule meetings, calls, and follow-ups
• Coordinate all travel logistics including flights, accommodations, and itineraries
• Support brand partnerships by helping track timelines, materials, and execution across internal and external teams
• Prepare meeting materials, take notes when needed, and manage follow-ups
• Serve as on-site and on-set support during shoots, events, and activations, helping coordinate logistics and stakeholders
• Assist with decks, documents, research, and light project coordination
• Handle expenses, basic admin, and operational tasks to keep everything running smoothly
Qualifications
• Proven experience supporting senior executives in fast-paced, high-visibility environments
• Strong judgment, discretion, and executive-level communication skills
• Excellent calendar, inbox, and travel management experience across multiple priorities and time zones
• Highly organized with exceptional attention to detail and follow-through
• Comfortable managing sensitive information and acting as a trusted extension of an executive
• Proficient with Google Workspace and Microsoft Office; quick to learn new tools and systems
• Proactive, resourceful, and able to anticipate needs rather than wait for direction
• Interest and experience working alongside brand partnerships, media, or creative teams is a plus
