About the role
We are hiring an Executive Assistant to support the COO across day-to-day operations and live events. This role is hands-on and fast paced, with room to learn and grow. You will act as an extension of the COO, keep priorities moving, and make sure plans turn into action. You will use judgment to prioritize, resolve issues within scope, and flag problems early. You will help keep work moving during COO travel, meetings, or onboard execution. Strong follow-through, good judgment, and comfort in busy environments matter here.
Core responsibilities
• Manage the COO’s calendar, meetings, and priorities
• Prepare agendas, notes, and track action items
• Coordinate projects across teams and follow up with owners
• Draft emails, updates, and internal documents
• Handle travel planning, logistics, and expenses
• Keep files, tasks, and timelines organized
• Reprioritize work quickly when timelines or priorities shift
• Proactively communicate risks, delays, or issues before they escalate
• Use judgment to resolve issues when possible and escalate when needed
Onboard responsibilities
• Support event execution as needed
• Help execute decor, branding, and daily theme updates
• Install or remove graphics and correct anything off plan
• Check for and remove unauthorized branding
• Confirm stage sets are recorded and labeled correctly
• Monitor merch counts and flag issues
• Step in to support Artist Relations when needed
• Attend key internal meetings as COO notetaker
• Flag issues needing COO attention
• Send a brief daily recap of anything off plan or unresolved
You are empowered to protect the brand onsite without prior approval and escalate repeat or sensitive issues.
Operational support
• Track deadlines and deliverables across teams
• Follow up to ensure tasks are completed
• Keep Slack and Monday.com updated
• Support SOP updates and process improvements
• Spot gaps early and raise them
What we are looking for
• 1 to 3 years in an administrative, coordinator, or operations support role
• Strong organization and follow-through
• Clear written and verbal communication
• Comfortable supporting senior leadership
• Able to handle shifting priorities calmly
• High attention to detail
• Familiarity with Google Workspace, Slack, and task tools
• Comfortable handling confidential information with discretion
Nice to have
• Experience supporting an executive or leadership team
• Interest in events, travel, or live production
• Monday.com experience
• Onsite or event support experience
