Contract Marketing Coordinator (6 Months)

Position Overview:
The Marketing Coordinator is a detail-oriented, execution-focused role supporting day-to-day tour marketing operations across active campaigns. This role helps keep timelines, deliverables, and communications organized to ensure launches run smoothly and marketing materials are delivered accurately.
Key areas of support include:
• Campaign coordination with venues
• Vendor requests + information gathering (RFIs/RFPs)
• Asset delivery + trafficking
• Invoice submission + tracking support
• Social scheduling support
• Ad pack assembly
The Marketing Coordinator will work most closely with the Marketing Manager and will collaborate with broader internal teams as needed.
Key Responsibilities
Campaign Coordination + Venue Support
• Support tour marketing rollouts by coordinating day-to-day needs with venue marketing teams
• Track key deadlines, market-specific requirements, and timelines
• Maintain clear communication and follow-up to ensure deliverables stay on schedule
Vendor Requests + Information Gathering (RFIs/RFPs)
• Send RFIs/RFPs to external partners (digital, radio, production, street team, etc.)
• Collect and organize vendor responses, including rates, timelines, and deliverables
• Keep vendor information centralized, accurate, and easy to reference internally
Asset Delivery + Trafficking
• Distribute approved creative assets to venues, partners, agencies, and internal stakeholders
• Confirm formatting/specs are correct prior to delivery (file type, sizing, market versions, etc.)
• Maintain clean folder organization and ensure version control across teams
Invoice Submission + Tracking Support
• Collect invoices and required documentation from vendors and partners
• Submit invoices for processing according to internal guidelines and timelines
• Track outstanding invoices and follow up as needed to ensure timely submission
Social Scheduling Support
• Support social execution by coordinating draft copy, approvals, and publish timing
• Assist with scheduling posts across platforms 
• Keep status tracking organized across markets and phases of campaign rollout
Ad Pack Assembly
• Build and update ad packs across tours and markets
• Ensure ad packs are consistently formatted, accurate, and completed on time for settlement
• Maintain organization across ad pack components (top sheets, backups, actualized numbers, etc.)
Qualifications:
1-2 years experience in the music industry or marketing industry (agency experience preferred)
• Strong organizational skills with high attention to detail and follow-through
• Proven ability to manage multiple tasks, timelines, and deliverables simultaneously
• Clear written communication skills (comfortable following up with venues, vendors, and partners)
• Comfortable working in fast-paced environments with shifting priorities and quick turnarounds
• Familiarity with social platforms and social scheduling / publishing tools (e.g., Hootsuite, Sprout Social, etc.), including supporting post scheduling, approvals, and rollout calendars
• Proficiency in Google Workspace (Docs, Sheets, Drive) with strong file management habits
• Collaborative, proactive, and comfortable taking direction while working independently
Compensation + Benefits:
• Annual salary of $45,000- $55,000 w/ additional discretionary bonus
