Producer Labs is a fast-growing music marketing agency based in LA that manages significant weekly media spend for major label clients.
We need someone to build and own the operational backbone that lets us scale from here without everything flowing through the founders.

THE ROLE
This is the first operations hire at Producer Labs. You'll be the person who makes sure the machine runs—campaigns are delivered on time, clients are billed accurately, the team is accountable, and the founder is freed up to focus on growth and strategy. This isn't a back-office admin role. You'll have real authority and be expected to make judgment calls, have hard conversations, and build systems that scale.

WHAT YOU'LL OWN
Client Operations
• Own the workflow from campaign kickoff to EOC report delivery—ensuring briefs are complete, timelines are hit, and nothing falls through the cracks between media buyers and creative.
• Be the early warning system for campaign issues. If something's going sideways, you catch it before the client does.
• Manage campaign capacity planning—when new business comes in, you know who has bandwidth and whether we need to hire.
Financial Operations
• Own invoicing, payment tracking, and financial reconciliation. Make sure invoices go out on time and revenue gaps don't go unnoticed for months.
• Turn Harvest time-tracking data into client-level profitability reports. Identify which accounts are healthy and which are eating margin through scope creep.
• Manage Harvest compliance—weekly reviews, follow-ups on incomplete timesheets, and reporting utilization data to inform staffing decisions.
Team Accountability
• Enforce the remote work and availability policy—daily standups, core hours responsiveness, and time-off protocols.
• Be the first conversation when someone isn't meeting expectations. You need to be comfortable with direct, honest feedback.
• Create the structure that retains A-players and identifies underperformers early.
Hiring & Onboarding
• Manage the recruiting pipeline for new hires—media buyers, contractors, VAs, specialists.
• Build and run onboarding so new team members are productive in weeks, not months.
• Manage relationships with overseas contractors and freelancers—track deliverables, flag performance issues, handle day-to-day coordination.
Process & Tool Adoption
• Be the bridge between the internal tools we're building (EOC report generator, ad spend dashboards, influencer platform, knowledge base) and actual team adoption.
• Document workflows and SOPs so processes don't live in people's heads.
• Identify operational bottlenecks and propose solutions—whether that's a new tool, a process change, or a hire.

WHAT WE'RE LOOKING FOR
Must-Haves
• 3–5 years of operations or project management experience at a fast-paced agency, production company, or similar environment. Music industry experience is a plus but not required.
• Comfortable with direct accountability. You can have hard conversations. You hold people to standards while maintaining trust.
• Financially literate. You understand invoicing, margins, utilization rates, and can spot when numbers don't add up.
• Systems thinker. You see a messy process and immediately think about how to systematize it. You're fluent in tools like Airtable, Harvest, project management platforms, and can pick up new ones fast.
• Judgment and autonomy. You don't need to check with the founder on every decision. You understand context, make good calls, and flag the right things.
• Based in LA and willing to work in-person. This role requires physical presence with the core team. Fully remote won't work.
Nice-to-Haves
• Experience in music, entertainment, or media industries.
• Familiarity with digital advertising operations (Meta Ads, TikTok Ads, campaign lifecycles).
• Experience managing remote and hybrid teams.
• Background in scaling a company from ~15 to 30+ people.

COMPENSATION & PERFORMANCE
Base Salary: $95K–$105K depending on experience Performance Bonus: 10–15% of base, paid quarterly 90-Day Review: Clear milestones and path to top of range after proven performance Growth Path: As Producer Labs scales, this role grows into VP of Operations or COO
