Position Overview
We are seeking an experienced Music Touring Travel Specialist to manage all logistics for touring artists including ground transportation, flights, and lodging. This role requires exceptional multitasking abilities and a minimum of 5 years of proven experience in music tour logistics.
Primary Responsibilities
Tour Logistics Management
• Coordinate all ground transportation including buses, vans, and local transfers for artists, crew, and equipment
• Book and manage domestic and international flights for touring parties of varying sizes
• Secure hotel accommodations that meet rider specifications and budget parameters
• Create and maintain detailed day sheets and itineraries for all tour dates
Vendor Relations and Coordination
• Negotiate contracts with transportation providers, airlines, and hotels
• Maintain relationships with preferred vendors across key touring markets
• Troubleshoot last-minute changes and resolve logistics issues in real-time
• Coordinate with venue advance teams and local promoters
Budget and Documentation
• Track and manage tour travel budgets, ensuring cost-effectiveness
• Process invoices and reconcile expenses with accounting department
• Maintain organized digital files of all travel documents, contracts, and receipts
• Provide regular budget reports and forecasts
Advancement and Communication
• Advance all logistics details 2-4 weeks prior to tour dates
• Serve as primary point of contact for touring party regarding travel matters
• Communicate schedule changes promptly to all relevant parties
• Coordinate with tour managers, artists, and management team
Required Qualifications
• Minimum 5 years of experience specifically in music touring logistics (artists, bands, or music industry professionals)
• Proven track record managing multi-city domestic and international tours
• Expert knowledge of ground transportation options for touring (buses, sprinters, local services)
• Strong relationships with transportation and hospitality vendors in major markets
• Proficiency with travel booking platforms and tour management software
• Ability and willingness to work outside traditional 9-5 hours to accommodate international time zones, late check-ins, and real-time tour needs

Preferred Experience
• Experience with festival routing and logistics
• Knowledge of international work permits and visa requirements for touring
• Familiarity with artist rider requirements and hospitality standards
• Understanding of equipment trucking and load-in/load-out schedules
Reporting Structure
Reports directly to Travel Company Director.
